SmileSub (referred to below as “this site”) provides video subtitle recognition, translation, and burn-in services. This page explains what information we collect when providing these services, how we use it, how long we keep it, and what you can do about it. We have tried to avoid legal jargon and to state the actual situation clearly.
This page is a reference translation of the Chinese original. In case of any discrepancy, the Chinese version prevails.
1. What information we collect
1.1 Information you provide
- Account information: the username, email address, and display name you provide at registration. Your email address is used to send verification codes and essential account notices.
- Password: stored as a bcrypt hash. We do not keep and cannot recover your plaintext password.
- Content you upload: the video or audio files and subtitle files (SRT/VTT/ASS, etc.) used to produce subtitles, as well as any text you enter in glossaries or feedback.
- Payment-related information: the order information created when you place an order. We never access or store any card number or payment password; payment is completed by a third-party payment service provider.
1.2 Information generated while using the service
- Task and parsing records: metadata such as task status, duration, credits consumed, and creation time.
- Subtitle results: the subtitle text produced by recognition and translation, stored under your account so that you can view and download it from “History” and “Parsing records”.
- Anonymous visit statistics: page views, referrers, and similar data, used to judge whether a feature is actually being used. At the statistics level this is not linked to your real identity.
2. How long media files are kept
This is the question we get most often, so here is the conclusion up front: your original video and audio do not stay on our servers for long.
- Regular production tasks: once a task finishes processing, the uploaded original media files are deleted immediately (whether the task succeeds or fails).
- Online video parsing: media files parsed from a link are temporary and are kept for at most 2 hours per session; if you are inactive for more than 3 minutes they are cleaned up early as well. When server disk space is tight, cleanup is more aggressive.
- Metadata and subtitle text: task records, parsing records, and the generated subtitle text are kept for the long term, so that you can still retrieve and download them from “History” later. If you want them deleted, you can delete the corresponding records yourself on the page, or contact us.
3. How the information is used
- To complete the subtitle recognition, translation, and burn-in tasks you submit.
- To calculate and verify credit consumption, plan status, and orders.
- To troubleshoot faults and prevent abuse (for example, abnormally frequent batch requests).
- To reply to your inquiries through the email address you provided, with your consent.
We do not use your video, audio, or subtitle content to train models, and we do not sell your personal information.
4. Third-party services
Subtitle capabilities rely on external services, which means the relevant data is sent to them for processing. We send only the minimum content necessary to complete the task:
- Speech recognition: the uploaded audio is sent to a speech recognition provider to be transcribed into text.
- Machine translation: the subtitle text to be translated is sent to a translation provider to generate the translation.
- Payment: a third-party payment service provider collects the payment and calls back to notify us of the order result.
- Visit statistics: a third-party analytics service is used to record anonymous visit data.
These providers process data under their own privacy policies. If you have requirements regarding cross-border data transfer or sensitive content, please assess the situation yourself before processing, or contact us to learn about our self-hosting option.
5. Cookies and browser local storage
- Login credentials: stored in your browser’s local storage to keep you signed in. They are cleared when you sign out.
- Interface preferences: for example the subtitle font size and position you have adjusted — these style settings stay only in your own browser and are not uploaded to our servers.
- Visit statistics: used to distinguish unique visitors.
6. Information security
All traffic is encrypted with HTTPS; passwords are stored as bcrypt hashes; and the APIs are isolated per account, so your tasks and records are visible only to you (and to the operations staff who need access). Please understand, however, that no internet service can guarantee absolute security — do not upload material containing highly sensitive information.
7. Your rights
- Access and correction: view and modify your account information on the “Profile” page.
- Deletion: delete your records in “History” and “Parsing records”.
- Account closure: apply by emailing the address below; we will act after verifying your identity.
8. Minors
This site is intended for businesses and individual creators, not for children under 14. If a guardian discovers that a minor has registered and used the service without consent, please contact us to delete the relevant account and data.
9. Policy updates
If this policy changes substantially, we will update the “Last updated” date on this page; for major changes we will also notify you in-product or by email. Continued use constitutes acceptance of the updated policy.
